Crew Coordinator

About the role

The Crew Coordinator is responsible for managing the mobilisation process of seafarers, ensuring all pre‑joining formalities are completed efficiently and accurately. This role acts as the main liaison between crew members, training centres, medical providers and internal teams to guarantee a smooth transition onto vessels.

Key responsibilities

• Process visas and other joining formalities in a timely manner.
• Verify the authenticity and completeness of all pre‑joining documents.
• Arrange certifications, courses, tests and medical examinations for approved personnel.
• Maintain regular contact with crew members during leave and mobilisation.
• Coordinate training enrolments and update records in the ShipSure Crewing system.
• Handle flag‑state document applications and enforce control procedures.
• Provide administrative support to the Crew Cell and assist the Crew Supply Manager as needed.

Required profile

• Vocational diploma, short‑course certificate or a Bachelor’s/College degree in any field.
• Strong computer skills, including word processing and spreadsheet use.
• Excellent interpersonal and communication abilities, both oral and written.
• Keen attention to detail and solid organisational and planning capabilities.
• Awareness of cultural and diversity issues.
• Proven ability to work under tight deadlines.
