Project Administrator / Team Leader Assistant – Tbilisi

About the role

Spectrum Architecture, a fully integrated design‑build firm, is looking for an organized and proactive Project Administrator / Team Leader Assistant to support its Project Leads, design team and external consultants. You will act as the main communication hub across internal teams, clients, contractors and consultants, ensuring smooth project coordination in a fast‑paced architectural environment.

Key responsibilities

• Assist Project Leads with daily project management, calendar coordination, deadline setting and proactive follow‑up on action items.
• Organise internal and external meetings, prepare agendas, record accurate minutes and maintain live action trackers.
• Serve as the daily point of contact for routine communications, inquiries and RFIs between clients, sub‑consultants and contractors.
• Manage the project document control system, logging incoming and outgoing drawings, specifications and transmittals, ensuring teams work with the latest revisions.
• Maintain clean project directories, standard folder structures and smooth information flow across architecture, engineering and specialist disciplines.

Required profile

• Degree, diploma or professional experience in Architecture, Engineering, Construction, Project Management or a related field.
• Previous experience in an architectural, engineering or design consultancy environment.
• Strong understanding of architectural/engineering workflows, drawing revisions and project stages.
• Excellent written and verbal communication skills with high attention to detail.
• Proven ability to multitask, manage tight deadlines and proactively follow up on open actions.

Required skills

• Proficiency in MS Office 365 (Word, Excel, Outlook, Teams, SharePoint).
• Experience with Adobe Acrobat.
• Familiarity with task/project management software.
• Knowledge of CDE, BIM or Autodesk platforms (a plus).
